Role / Job Description
We’re looking for an organized, proactive, and service-minded Office Administrator to support the smooth day-to-day operation of our Athens office and provide high-quality administrative support to senior management and our wider teams.
In this role, you will be a central point of coordination for office operations, meetings, documentation, suppliers, internal events, and business communication. Your ability to anticipate needs, manage multiple priorities, and maintain a professional and welcoming workplace will be essential to the success of the role.

• Manage the day-to-day operation of the office, ensuring a professional, organized, safe, and welcoming working environment.
• Coordinate executive calendars, meetings, appointments, and related logistics, ensuring priorities and schedules are managed effectively.
• Prepare, format, proofread, and edit correspondence, reports, presentations, meeting materials, and other business documents.
• Organize and maintain physical and digital files, ensuring accuracy, accessibility, confidentiality, and appropriate record keeping.
• Coordinate the procurement of office supplies, monitor inventory, and ensure timely replenishment while supporting cost-effective use of resources.
• Liaise with external vendors and service providers and follow up on office maintenance, cleaning, repairs, equipment, and other facilities-related needs.
• Organize company meetings, training sessions, internal activities, and special events, including agendas, logistics, minutes, and follow-up on action points.
• Handle incoming calls, emails, correspondence, deliveries, and visitors professionally, acting as a reliable point of contact for internal and external stakeholders.
Qualifications
What sets you up for success:
• At least 2 years of experience in office administration, executive support, or a similar administrative role, preferably within a corporate environment.
• Bachelor’s degree in Business Administration or a related field is preferred.
• Strong organizational, planning, and multitasking skills, with the ability to prioritize effectively and meet deadlines.
• Demonstrated ability to coordinate calendars, meetings, documentation, suppliers, and day-to-day office requirements.
• Excellent written and verbal communication skills in Greek and English.
• Proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint; familiarity with digital scheduling and collaboration tools is an advantage.
• High attention to detail and a consistent focus on accuracy and quality.
• Professional, discreet, and trustworthy, with the ability to handle confidential information appropriately.
• Strong interpersonal skills and a customer-focused mindset when interacting with employees, senior management, visitors, and external partners.
